1. Welcome

Welcome to Builders Table, a curated hackathon organised by MakeReign® ("MakeReign", "we", "our" or "us").

These Hackathon Participation Terms ("Terms") explain the conditions that apply when you apply for, are selected to participate in, or attend Builders Table.

By submitting an application, accepting an invitation to participate, or attending the Hackathon, you acknowledge that you have read, understood and agree to these Terms.

These Terms should be read together with our:

• Privacy Policy
• Cookie Policy
• Website Terms of Use

Together, these documents govern your use of the Builders Table website and your participation in the Hackathon.

3. Definitions

For the purposes of these Terms:

Applicant means any individual who submits an application to participate in Builders Table.

Participant means an Applicant who has paid the participation fee for their place, or on whose behalf it has been paid, and whose place has been confirmed by the Organiser.

Team means a group of up to five (5) Participants competing together in the Hackathon.

Hackathon means the Builders Table event taking place on 18–19 September 2026, including all associated activities, workshops, judging sessions and networking events.

Venue means the official event location communicated to Participants.

4. Eligibility

To apply for Builders Table, Applicants must:

• be at least 18 years of age on the first day of the Hackathon;
• complete the online application form;
• provide accurate and complete information;
• agree to these Terms and all applicable Builders Table policies; and
• comply with all applicable South African laws.

Applications submitted on behalf of another person without their knowledge or consent may be rejected.

5. Application Process

Places at the Hackathon are limited and are allocated on payment.

Submitting an application expresses your interest in participating but does not on its own secure a place at the Hackathon. A place is secured only once the participation fee for it has been paid.

The application process consists of the following stages:

1. Apply
2. Payment of Participation Fee
3. Registration Confirmation

The details collected at application are used to plan the event, to pair individual Applicants into Teams, and to communicate with Participants.

The Organiser reserves the right to decline or refund any application at its sole discretion, including where the Hackathon is oversubscribed.

The Organiser is not obliged to provide reasons for a declined application.

6. Confirmation of Place

On submitting an application, the Applicant is shown a secure card payment link for the amount due, and the same link is sent to them by email.

The confirmation email will include:

• participation fee details;
• a secure card payment link;
• the total amount due for the Applicant or the members they are paying for;
• a personal link to their Application Dashboard; and
• relevant event information.

Submitting an application does not confirm a place at the Hackathon.

A Participant's place is only confirmed once payment has been received and verified by the Organiser. Unpaid applications do not reserve a place, and places may sell out before payment is made.

7. Participation Fee

The participation fee is R500 per Participant.

The rate applicable to an Applicant is the rate in effect at the time their application was submitted, and does not change if the rate is subsequently adjusted.

The Primary Team Member makes a single payment covering themselves and any member whose details they entered on the team's application. A member who is invited by email pays for their own place when they complete their own application, and is not included in the Primary Team Member's payment. Team leads should remove anyone who will not be attending, using their Application Dashboard, before making payment.

The participation fee contributes towards the planning and delivery of Builders Table and is payable by debit or credit card using the secure payment link shown on completing an application, which is also sent by email. Card payments are processed by Yoco Payments (Pty) Ltd; MakeReign does not receive or store your card details.

For your security, MakeReign will never request payment by EFT and will never notify Participants of banking details by email. All payments are made through the payment link shown on the Builders Table website or sent from hello@builderstable.net.

If you receive any communication requesting payment to a bank account, do not pay it — please contact us immediately at builderstable@makereign.com.

8. Registration Confirmation

Registration is only confirmed once:

• the Applicant has received an invitation to participate;
• payment has been received and verified;
• all required information has been provided; and
• the Organiser has issued written confirmation of participation.

Only confirmed Participants may attend the Hackathon.

The Organiser reserves the right to withdraw an invitation where payment has not been received by the specified deadline.

9. Cancellation, Transfers and Refunds

We understand that circumstances can change.

The following cancellation policy applies to confirmed Participants.

Participant Cancellation

Where a confirmed Participant chooses not to attend:

More than 30 days before the event

Participants may request a refund of the participation fee, less a reasonable administration fee.

15–30 days before the event

Participants may request a 50% refund of the participation fee.

14 days or fewer before the event

Participation fees are non-refundable.

Refund requests must be submitted in writing to builderstable@makereign.com.

Approved refunds will be processed using the original payment method wherever reasonably possible.

Participant Transfers

If a confirmed Participant is unable to attend, they may request that their place be transferred to another eligible individual.

Transfer requests are subject to:

• approval by the Organiser;
• availability; and
• the replacement Participant meeting the eligibility requirements.

The Organiser reserves the right to refuse transfer requests where operationally necessary.

Organiser Cancellation

If Builders Table is cancelled by the Organiser for reasons other than Force Majeure, confirmed Participants may choose either:

• a full refund of the participation fee; or
• a transfer of their participation to the rescheduled event.

Refunds will be processed within a reasonable period after the cancellation has been confirmed.

Force Majeure

The Organiser shall not be liable for cancellation or postponement resulting from events beyond its reasonable control, including but not limited to:

• natural disasters;
• acts of government;
• civil unrest;
• pandemics;
• venue closures;
• public health emergencies;
• utility failures; or
• any other event that makes the Hackathon impossible or unsafe to deliver.

Where reasonably possible, Participants will be offered the opportunity to transfer their registration to a rescheduled event.

10. Communication

Applicants and Participants agree to receive communications relating to their application, selection, registration and participation in Builders Table.

These communications include:

• application updates;
• invitation emails;
• payment confirmations;
• event information;
• schedule updates; and
• important operational announcements.

Administrative communications relating to your participation will continue to be sent even if you choose not to receive marketing communications.

11. Participant Responsibilities

Builders Table is a collaborative event built on mutual respect, professionalism and teamwork.

By participating in the Hackathon, you agree to:

• act honestly, respectfully and professionally at all times;
• treat fellow participants, organisers, mentors, judges, sponsors, venue staff and guests with courtesy and respect;
• comply with all reasonable instructions issued by the Organiser or venue staff;
• comply with all applicable laws and venue rules;
• respect the property of others and the event venue;
• use equipment, facilities and resources responsibly;
• provide accurate information during the application and registration process; and
• participate in a manner that contributes to a safe, inclusive and welcoming environment.

Participants remain responsible for their own decisions, actions and conduct throughout the event.

12. Code of Conduct

Builders Table is committed to creating an inclusive environment where everyone feels welcome regardless of background, identity or level of experience.

The following behaviour will not be tolerated:

• harassment or discrimination of any kind;
• threatening, abusive or intimidating behaviour;
• bullying;
• violence or aggressive conduct;
• deliberate damage to property;
• theft;
• unlawful activity;
• disruptive behaviour that materially affects the event;
• behaviour that compromises the safety of others.

Participants who experience or witness inappropriate behaviour are encouraged to report it to the Organiser as soon as reasonably possible.

The Organiser may investigate reported incidents and take any action considered appropriate, including:

• issuing a warning;
• removing a Participant from the venue;
• disqualifying a Participant or Team; or
• involving venue security or law enforcement where appropriate.

Serious breaches of this Code of Conduct may result in immediate removal from the Hackathon without refund.

13. Health & Safety

The safety of Participants is important to us.

Participants agree to:

• take reasonable care of their own health and safety;
• follow all emergency procedures communicated by the Organiser or venue;
• comply with any health or safety instructions provided during the event;
• use equipment responsibly;
• immediately report hazards, accidents or unsafe conditions to the Organiser.

Participants should only take part in activities that they are physically able to undertake.

If a Participant has any medical condition, allergy or accessibility requirement that may affect their participation, they are encouraged to inform the Organiser before the event so that reasonable arrangements can be considered where practicable.

14. Personal Property

Participants are responsible for their own personal belongings throughout the Hackathon.

This includes, but is not limited to:

• laptops;
• mobile phones;
• cameras;
• tablets;
• chargers;
• bags;
• personal equipment; and
• any other valuables brought to the event.

While reasonable security measures may be in place, the Organiser does not guarantee the security of personal property and is not responsible for any loss, theft or damage, except where liability cannot lawfully be excluded.

Participants are encouraged to keep valuables with them at all times.

15. Liability & Assumption of Risk

IMPORTANT NOTICE

This section limits certain legal responsibilities and affects your rights. Please read it carefully before participating.

Builders Table is an in-person event that may involve ordinary risks associated with attending conferences, workshops and collaborative technology events.

These risks may include, for example:

• slips, trips or falls;
• fatigue associated with extended participation;
• minor injuries;
• interaction with electrical equipment and personal devices;
• movement around the venue; and
• other ordinary risks associated with attending a public event.

By participating in Builders Table, you acknowledge that:

• your participation is voluntary;
• you understand and accept the ordinary risks associated with attending the event;
• you agree to act responsibly and with reasonable care for your own safety and the safety of others.

Nothing in these Terms excludes or limits the Organiser's liability where such liability cannot lawfully be excluded under applicable South African law, including the Consumer Protection Act.

To the fullest extent permitted by law, the Organiser will not be liable for:

• indirect or consequential loss;
• loss of business opportunities;
• loss of profits;
• loss of data;
• loss of goodwill;
• loss or damage to personal property; or
• losses arising from a Participant's own negligence or failure to follow reasonable instructions.

Participants remain responsible for their own actions throughout the event.

16. Medical Emergencies

If a Participant becomes ill, injured or requires emergency medical assistance during the Hackathon, the Organiser may:

• contact emergency medical services;
• notify the Participant's nominated emergency contact (where available); and
• take any reasonable action considered necessary to protect the Participant's immediate health or safety.

Participants remain responsible for any medical costs incurred unless otherwise required by law.

17. Alcohol & Responsible Behaviour

Alcohol may be available at certain Builders Table functions or networking activities where permitted by the venue.

Participants who choose to consume alcohol agree to do so responsibly.

The Organiser reserves the right to refuse service, remove or disqualify any Participant whose behaviour is considered unsafe, disruptive, unlawful or inappropriate due to intoxication.

Nothing in these Terms limits the Organiser's obligations under applicable liquor licensing or health and safety legislation.

18. Insurance

Participants are responsible for arranging any personal insurance they consider appropriate before attending Builders Table.

This may include:

• medical insurance;
• travel insurance;
• personal accident insurance; or
• insurance covering personal equipment.

The Organiser may maintain its own public liability or event insurance where appropriate; however, such insurance does not replace a Participant's responsibility to ensure they have suitable personal cover for their own circumstances.

19. Photography, Video & Media

Photography, videography and audio recordings may take place throughout Builders Table for documentation, promotional and marketing purposes.

These recordings may include Participants, Teams, presentations, demonstrations and event activities.

Participants will be asked during registration whether they consent to being photographed or recorded for promotional purposes.

Providing this consent is voluntary.

Where reasonably practicable, the Organiser will respect requests from Participants who choose not to appear in close-up promotional photography or video content.

Participants may also contact the Organiser after the event to request the removal of specific promotional content where appropriate. While every reasonable effort will be made to accommodate such requests, removal may not always be possible where content has already been published or distributed.

The Organiser retains ownership of all official event photography and recordings.

Nothing in this section transfers ownership of a Participant's project or intellectual property.

20. Use of Name & Project Information

Participants agree that the Organiser may use:

• their name;
• team name;
• job title;
• organisation (if provided);
• project title;
• project description;
• screenshots;
• demonstration images; and
• publicly presented project materials

for the purposes of:

• announcing Participants;
• announcing winners;
• reporting on the Hackathon;
• promoting future Builders Table events; and
• showcasing the outcomes of the Hackathon.

This permission does not transfer ownership of any intellectual property created by Participants and does not permit the Organiser to commercially exploit a Participant's project without their separate permission.

21. Judging

Builders Table is a skill-based Hackathon.

Projects will be evaluated by an independent judging panel appointed by the Organiser.

Judging will be based on criteria published by the Organiser before or during the Hackathon. These criteria may include, but are not limited to:

• Innovation
• Creativity
• Technical execution
• User experience
• Business viability
• Presentation
• Alignment with the Hackathon brief

The Organiser reserves the right to clarify or refine the judging criteria before judging commences, provided any changes are communicated to Participants.

The judges' decisions are final and binding.

No correspondence or disputes regarding judging decisions will be entered into except where required by applicable law.

22. Public Voting

Where public voting is offered, it will be used only for a separate People's Choice Award or other non-primary recognition.

Public voting will not determine the recipient of the main Builders Table prize unless expressly stated otherwise in the official competition rules.

The Organiser reserves the right to remove fraudulent, duplicate or manipulated votes.

23. Prizes

The total prize pool for Builders Table is:

R50,000

The Organiser reserves the right to substitute or amend prizes where reasonably necessary due to circumstances beyond its control.

Prizes are not transferable unless otherwise agreed by the Organiser.

Prizes may not be exchanged for alternative goods or services unless determined by the Organiser.

Participants are responsible for ensuring that any information required to facilitate prize payment is accurate and complete.

Participants are responsible for complying with any tax obligations that may arise in connection with receiving a prize.

24. Prize Distribution

Unless otherwise communicated before the event, cash prizes will be paid by Electronic Funds Transfer (EFT).

Prize payments will normally be made within 30 calendar days after:

• the winners have been officially confirmed;
• all required documentation has been received; and
• valid banking details have been provided.

Where a winning Team consists of multiple registered Participants, the prize will be divided equally between all registered team members unless the Team provides written instructions, signed by all registered team members, requesting an alternative distribution.

The Organiser will not become involved in disputes between Team members regarding prize allocation once payment has been made in accordance with the agreed written instructions.

25. Intellectual Property

Builders Table celebrates innovation and creativity.

Unless otherwise agreed in writing, Participants retain ownership of all intellectual property they create during the Hackathon.

Nothing in these Terms transfers ownership of a Participant's ideas, code, designs, prototypes, documentation or other intellectual property to the Organiser.

By participating, Participants grant the Organiser a non-exclusive, worldwide, royalty-free licence to:

• display project names;
• showcase demonstrations;
• use screenshots, photographs and videos of projects;
• describe submitted projects;
• feature projects in promotional material, presentations, case studies and future Builders Table marketing.

This licence exists solely to promote Builders Table and the work created during the event.

The Organiser will not commercially exploit a Participant's project without obtaining additional permission where required.

Participants are responsible for ensuring that any third-party content, software, datasets or assets used in their projects comply with the relevant licence terms.

26. Privacy

The Organiser respects your privacy and processes personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA) and other applicable laws.

Personal information collected during the application and registration process is used to:

• review applications;
• communicate with Applicants and Participants;
• administer the Hackathon;
• manage payments;
• coordinate Teams;
• facilitate judging and prize administration;
• improve future events; and
• comply with legal obligations.

27. Marketing Communications

Applicants and Participants may choose to receive future marketing communications from Builders Table and MakeReign.

Marketing communications are optional and require your consent.

You may withdraw your consent at any time by:

• using the unsubscribe link included in our marketing emails; or
• contacting us at builderstable@makereign.com.

Choosing not to receive marketing communications will not affect important administrative emails relating to your application or participation.

28. Website & Third-Party Services

The Builders Table website may contain links to third-party platforms or services used to support the Hackathon, including payment processing, analytics, customer relationship management and communications.

The Organiser is not responsible for the content, availability or privacy practices of third-party websites or services.

Participants should review the applicable terms and privacy policies of those providers before using their services.

29. Changes to the Event

The Organiser may make reasonable changes to:

• the event schedule;
• venue;
• speakers;
• mentors;
• judges;
• sponsors;
• programme; or
• operational arrangements

where reasonably necessary.

Where practical, Participants will be notified of any material changes as soon as reasonably possible.

30. Changes to These Terms

The Organiser may update these Terms from time to time where reasonably necessary to:

• comply with changes in applicable law;
• improve the operation of the Hackathon; or
• reflect changes to Builders Table.

The latest version will always be published on the Builders Table website.

Where changes materially affect Participants after registration has been confirmed, reasonable notice will be provided.

31. Governing Law

These Terms are governed by the laws of the Republic of South Africa.

Any dispute arising from these Terms will be subject to the jurisdiction of the South African courts, unless applicable consumer protection legislation provides otherwise.

Nothing in these Terms limits any rights that Participants may have under the Consumer Protection Act, the Protection of Personal Information Act or any other applicable legislation.

32. Severability

If any provision of these Terms is found to be unlawful, invalid or unenforceable, that provision will be deemed severed.

The remaining provisions will continue in full force and effect.

By submitting an application to Builders Table, accepting an invitation to participate, completing your registration, or attending the Hackathon, you acknowledge that you have read, understood and agree to these Hackathon Participation Terms.

Where required during the registration process, you may also be asked to provide separate acknowledgement of:

• the Liability & Assumption of Risk section;
• the Privacy Policy; and
• optional consent to receive marketing communications and promotional photography.
